FieldFlow LLC ("FieldFlow," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our web and mobile applications (the "Service").

1. Information We Collect

Account Information

When you create an account, we collect:

  • Email address (required)
  • First and last name
  • Phone number (optional)
  • Profile picture (optional)
  • Password (stored securely using industry-standard hashing)

Content You Create

When you use FieldFlow, we store the content you create, including:

  • Football plays, formations, and playbook data
  • Practice plans and install cards
  • Sheets
  • Quizzes and quiz results
  • Calendar events and schedules
  • Files and documents you upload
  • Chat messages within your team

Usage Information

We automatically collect:

  • Login timestamps and session information
  • Activity logs (actions you take within the Service)
  • Device and browser information for security purposes

Payment Information

Payment processing is handled by Stripe. We do not store your full credit card number. Stripe collects and processes payment information according to their Privacy Policy. We receive and store your Stripe customer ID, subscription status, and billing history.

2. How We Use Your Information

We use your information to:

  • Provide, maintain, and improve the Service
  • Process your subscription and payments
  • Send account-related emails and, when you separately opt in, transactional SMS for team invitations, multi-factor authentication, and account recovery
  • Respond to your support requests and inquiries
  • Enforce our Terms of Service and protect against fraud
  • Comply with legal obligations

3. SMS/Text Messaging

The FieldFlow Account SMS program is limited to transactional team invitations, multi-factor authentication and one-time security codes, and account or password recovery for FieldFlow users who have separately opted in to SMS messaging.

  • Team Invitations: When a coach invites your registered FieldFlow account to a team, we may send the invitation link to your opted-in phone number.
  • Account Security: We may send one-time codes for multi-factor authentication, sign-in verification, and account or password recovery.
  • No Marketing: We do not use this program for marketing, promotional, or advertising messages.

Opt-In

Providing a phone number alone does not opt you in. You opt in only by checking the separate, optional SMS consent box during account registration or in Profile Settings. The box is unchecked by default, SMS consent is not part of our Terms of Service, and consent is not a condition of purchase or use of FieldFlow. A coach cannot consent on your behalf. We record the time, source, disclosure version, phone number, and available request metadata for consent and revocation events.

Opt-Out

You can opt out at any time by replying STOP to any message, turning off SMS consent in Profile Settings, or contacting us at support@fieldflow.us to opt out. Reply HELP for help. We retain consent records as required to document your messaging preferences.

Message Frequency & Rates

Message frequency varies based on team invitation, sign-in, and account-recovery activity. Message and data rates may apply. Delivery is subject to your mobile carrier's availability and is not guaranteed. Mobile information and SMS opt-in data are not sold or shared with third parties or affiliates for their marketing or promotional purposes.

4. Your Data is Private

Your content belongs to you. Your data is never public, will never be sold, and will never be shared with third parties for marketing or advertising purposes.

We only share information in these limited circumstances:

  • Within Your Team: Content you create is shared with members of your team based on their roles and permissions.
  • Service Providers: We use trusted third-party services to operate FieldFlow (see Section 4).
  • Legal Requirements: We may disclose information if required by law or to protect rights, safety, or property.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred.

5. Third-Party Services

We use the following third-party services to operate FieldFlow:

  • Microsoft Azure: Cloud hosting, database storage, file storage, and email delivery
  • Stripe: Payment processing and subscription management

These providers have their own privacy policies and are contractually obligated to protect your data.

6. Data Security

We implement industry-standard security measures to protect your data, including:

  • Encryption of data in transit (HTTPS/TLS)
  • Secure password hashing
  • Access controls and authentication
  • Regular security reviews

While we strive to protect your information, no method of transmission over the Internet is 100% secure. We cannot guarantee absolute security.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. When you delete your account:

  • Your account is disabled immediately
  • Your data is archived and can be recovered if you log back in
  • We retain minimal records for legal and business purposes (e.g., payment history)

8. Your Rights

You have the right to:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Update or correct your account information at any time
  • Deletion: Delete your account through your account settings
  • Export: Export your plays, installs, and other content

9. Cookies

We use essential cookies to authenticate your session and keep you logged in. We do not use advertising or third-party tracking cookies.

10. Children's Privacy

FieldFlow is not intended for children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us immediately.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
